This policy explains what personal data Reflow collects through this website, why, who we share it with, and your rights under the EU General Data Protection Regulation (GDPR) and Irish data protection law.
1. Who is responsible
Reflow, based in Dublin, Ireland, is the controller of the personal data described here. Contact us about anything in this policy at hello@reflow.ie.
2. What we collect
When you book a demo, we collect what you type into the booking form:
- your name, email address and phone number
- your business name and the kind of business it is
- how many enquiries you miss or answer late each month, your average job value and, if you choose to share it, your yearly revenue range
- the time you book, and any links to the ad or campaign that brought you to the page (for example "utm" tags)
We don't run advertising trackers or analytics on this website.
3. Why we use it, and our legal basis
- To arrange and prepare your demo call, and to contact you about it. This is a step you've asked us to take before possibly entering a contract (GDPR Article 6(1)(b)).
- To follow up after the call about our services. This is in our legitimate interest in growing our business (Article 6(1)(f)), and you can ask us to stop at any time.
- To understand which ads bring bookings, using campaign tags. This is also in our legitimate interest, and uses no personal profiles.
We don't sell your data, and we don't use it for automated decisions that affect you.
4. Who we share it with
We use a small number of service providers who process data for us under contract:
- Calendly runs our booking calendar. Your booking and form answers are stored by Calendly and sent to the calendar we connect to it. Calendly is based in the United States and transfers data under the EU-US Data Privacy Framework and standard contractual clauses. See Calendly's privacy notice.
- Google provides the calendar invite and Google Meet link for your call, and the fonts used on this site. Loading the fonts sends your browser's IP address to Google.
- Hostinger hosts this website and keeps standard server logs (such as IP addresses) for security.
We may also share data where the law requires it.
5. Cookies and storage
This website itself doesn't set cookies. After you book, your first name and two of your answers are kept in your browser's session storage so the thank-you page can greet you and show your estimate; they're deleted when you close the tab. Calendly's booking calendar may set its own cookies when it loads; see Calendly's cookie notice for details.
6. How long we keep it
If you don't become a client, we keep your booking details for up to 12 months after your demo, then delete them. If you become a client, we keep them for as long as we work together and for up to 6 years afterwards, as needed for tax and legal records.
7. Your rights
You can ask us to:
- give you a copy of the personal data we hold about you
- correct it, or delete it
- restrict or object to how we use it, including stopping any follow-up
- send it to you or another company in a portable format
Email hello@reflow.ie and we'll reply within one month. If you're unhappy with how we've handled your data, you can complain to the Data Protection Commission in Ireland.
8. Data we handle for our clients
When we answer enquiries for a client's business, we process their customers' data on that client's behalf, under a data processing agreement. In that case the client's own privacy policy applies, and requests should go to them first.
9. Changes
We'll update this policy if what we do with data changes. The date at the top shows the latest version.
